Acceptable Use Policy

Last updated 24 September 2026

Draft — this document is being reviewed by a solicitor and may change before MotorPortal HQ launches publicly.

This policy forms part of our Terms of Service. It applies to everyone who uses a MotorPortal HQ account, including staff. The dealership account owner is responsible for making sure their team follows it.

1. Use MotorPortal HQ lawfully

Only use MotorPortal HQ for your genuine motor trade business and in line with the law — including consumer protection, advertising, data protection, tax and (where it applies) financial services rules. Don’t use it for anything fraudulent, or to sell vehicles you aren’t entitled to sell.

2. Keep your listings accurate

  • Describe vehicles honestly, including mileage, history, condition, known faults and any write-off category.
  • Don’t make misleading claims about prices, savings, finance, warranties or vehicle history.
  • Show the full price including all mandatory fees and charges (such as admin or preparation fees). Don’t add unavoidable fees later in the buying process.
  • Only use photos of the actual vehicle, or make it clear when an image is for illustration.
  • Don’t publish fake or made-up reviews or testimonials, or pay for reviews without saying so.
  • Check AI-drafted descriptions carefully before publishing them.

3. Only store the customer data you need

You’re responsible for the personal data you keep about your customers. Keep only what you need to run your business, and keep it accurate.

Don’t upload or type into notes:

  • copies of passports, driving licences or other ID documents;
  • bank account details, card numbers or security codes;
  • credit reports, credit scores or other credit information; or
  • health information or details of criminal offences.

Vehicle documents such as V5C logbooks can be uploaded to a vehicle’s private documents, where they’re only available through short-lived secure links.

4. Don’t share logins

Every person should have their own login. If someone else needs access, add them as a staff member with the right permissions — and remove them when they leave. Don’t share passwords or let anyone use your account.

5. Don’t misuse the platform

  • Don’t try to access another dealership’s data or any part of MotorPortal HQ you aren’t authorised to use.
  • Don’t scrape, crawl or bulk-download from MotorPortal HQ or dealership websites, other than using the export tools we provide.
  • Don’t probe, scan or test the security of MotorPortal HQ without our written permission. If you find a security problem, please tell us at the address below.
  • Don’t upload viruses or harmful code, overload the service, or get around rate limits or other protections.
  • Don’t use MotorPortal HQ to send spam or unlawful marketing.
  • Don’t upload content that is unlawful, offensive, or that you don’t have the right to use.

6. What happens if this policy is broken

If we believe this policy has been broken, we may remove or hide content, restrict features, or suspend or close the account, depending on how serious it is. Where it’s reasonable, we’ll contact you first and give you a chance to put things right. Where the law requires it, we may report matters to the relevant authorities.

7. Reporting a problem

To report misuse, a misleading listing or a security issue, email anaymakwana@icloud.com.
